JJOY Freelance – Booking Terms (Website Version)

1) Booking & Agreement

By booking a session with JJOY Freelance (“we”, “us”, “the Photographer”), you (“the Client”) confirm you have read and agree to these Booking Terms.

2) Booking Fee & Payments

  • A booking fee is required to secure your date/time.

  • Booking fees are non-refundable under all circumstances.

  • The remaining balance (if applicable) is due by the date stated on your invoice/booking confirmation.

3) Rescheduling (Date/Time Changes)

  • If you need to reschedule, please contact us as soon as possible (ideally 48 hours’ notice).

  • Where illness or emergencies make this difficult, please let us know at your earliest ability.

  • We will always try to accommodate a new date, subject to availability.

  • Repeated reschedules/cancellations may result in us declining future bookings.

4) Cancellations & No‑Shows

Cancellations

  • If you cancel your booking, the booking fee remains non-refundable.

  • Depending on the type of session and preparation already completed (e.g., styled set-ups, props, travel or other pre-booked costs), an additional cancellation fee may apply.

No‑Shows

  • If you do not attend your session and do not contact us in advance, this will be treated as a no-show.

  • No-shows are cancelled without refund and we may decline to rebook.

5) Illness, Emergencies & Unexpected Circumstances

If you are unwell

  • If you or your child are unwell (or have symptoms of a contagious illness), please contact us to rearrange.

If we are unwell / emergencies

  • In the unlikely event we cannot attend due to illness or unexpected personal circumstances, we will offer:

    • an alternative date, or

    • where possible, a suitable substitute photographer, or

    • in extreme cases, a refund of monies paid for the affected service.

Updates & communication during delays

  • During extremely busy periods or illness, updates may be shared via our official channels (Instagram/Facebook Stories or posts and WhatsApp Status). Where appropriate, we will also communicate directly.

6) Locations & Additional Costs

  • Your booking confirmation may show “Studio” by default.

  • If you choose an outdoor or at-home session, the location can be confirmed via your booking questionnaire and updated manually.

  • Any additional costs requested by the Client (e.g., venue hire, travel beyond what’s included, special props, or client-specific requests) are the Client’s responsibility and may be invoiced separately or paid directly.

7) Client Responsibilities (Timing, Safety & Conduct)

  • Please arrive on time and follow any guidance given during the session.

  • Parents/guardians remain responsible for supervising children at all times.

  • Studio sessions may involve equipment (lights, stands, cables). Outdoor sessions may involve uneven terrain and environmental hazards.

  • Any concerns or complaints must be raised privately and professionally. Harassment or abusive behaviour will not be tolerated and may result in termination of services without refund.

8) Image Style, Editing & Use

  • JJOY Freelance retains copyright of all images and video created.

  • Images are edited in our signature style. Requests for heavy re-editing or changes outside our usual style may not be possible.

  • The Client agrees not to apply filters or edits to delivered images/videos.

9) Gallery Delivery, Downloads & Archiving

  • Standard gallery delivery is typically up to 6 weeks from the session date, depending on workload, holidays/public holidays, illness, family circumstances, and other unforeseen factors.

  • Galleries are delivered via an online gallery.

  • Gallery links are available for 30 days from delivery. After this, links may expire and an admin fee may apply to re-upload/re-send.

10) Watermarks & Image Selection

  • Proofing galleries may include watermarks.

  • Watermarks are removed once your final images have been selected and are ready for download.

  • Full gallery upgrades may be available on request.

11) Pricing, Packages, Vouchers & Credit

  • Booking a package secures the inclusions and pricing at the time of booking.

  • If a booking is cancelled and a credit is offered at our discretion, package inclusions/pricing may change at the time of rebooking.

  • Gift vouchers are a balance value. If prices or packages change over time, additional payment may be required to cover any difference.

12) Refunds & Quality Concerns

  • We take pride in our work and want you to love your images.

  • If you have a concern, please contact us in writing within 7 days of receiving your gallery so we can review and, where reasonable, offer a solution (e.g., re-edits within our style).

  • Refunds are considered on a case-by-case basis and are not guaranteed.

13) Model Calls / TFP / Reduced-Rate Sessions / Giveaways

Where a session is booked as a model call, TFP, reduced-rate package, portfolio trial run, or giveaway:

  • JJOY Freelance retains the right to use images/footage for marketing and promotional purposes.

  • Deliverables and timelines may differ from standard paid sessions.

14) Liability Limitations

  • We are not responsible for loss or damage caused by external factors outside our control (including, but not limited to, equipment failure, weather, or industrial disputes).

  • Liability is limited to monies paid for the affected service, except where services have already been provided.
